These terms govern your use of the Orbit & Balance website and any coaching services you buy from us. By booking a discovery call, buying a plan, or creating a client portal account, you agree to these terms. Please read them carefully. If you don't agree, don't use our services.
1. What we offer
Orbit & Balance provides personalised nutrition and habit coaching for busy professionals — including one-to-one coaching calls, written frameworks, resources, messaging support, and access to a client portal. Specific inclusions depend on the plan you choose (see our pricing page).
Coaching is educational and behaviour-change support. It is not medical advice, diagnosis, or treatment. Please read our Medical Disclaimer before starting a programme.
2. Eligibility
- You must be at least 18 years old.
- You must be legally able to enter into a contract.
- You must give us accurate information about your health and any conditions or medications that could affect your suitability for coaching. See the Medical Disclaimer for full details on when coaching may not be appropriate for you.
3. Discovery calls
Discovery calls are free of charge, last approximately 30 minutes, and are held online. They exist to help us both decide whether coaching is a good fit. There is no obligation to buy anything after a discovery call.
4. Coaching memberships — payment and billing
- Coaching plans are billed monthly in advance, in GBP, via Stripe.
- By starting a plan, you authorise Stripe to charge your payment method on the same day each month until you cancel.
- Prices displayed on the pricing page are inclusive of any applicable taxes.
- We reserve the right to change prices with at least 30 days' notice. Any change will only apply to your next full billing cycle, not the one you're already in.
- Failed payments will be retried by Stripe. If we can't collect payment after reasonable attempts, we may suspend coaching until the account is up to date.
5. Minimum commitment
Meaningful, lasting change takes time. All coaching memberships have a minimum commitment of three (3) months from your start date. This is because most clients need at least this long to embed new habits and see the full picture of results.
During the minimum commitment period you may pause but not cancel. Pauses are granted at our discretion (typically for medical reasons, extended travel with poor connectivity, or bereavement) and add the paused time to the end of the commitment.
6. Cancellation and refunds
- After the minimum commitment: you can cancel at any time by emailing contact@orbitandbalance.com. Cancellation takes effect at the end of your current billing month; you retain access until then.
- Consumer 14-day cancellation right: under the UK Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have 14 days from starting a plan to change your mind and cancel for a full refund — provided you have not begun receiving coaching services within that period. If you have already had your kickoff call, coaching materials have been delivered, or you have used the coaching platform, we may deduct a fair amount for services already provided.
- Outside the 14-day period and after the minimum commitment: monthly payments already made are non-refundable.
- Exceptional circumstances: we may offer a partial refund at our discretion in cases of serious medical issues or bereavement. Contact us to discuss.
7. Your responsibilities as a client
- Give us honest, up-to-date information about your health, goals, and lifestyle so we can coach you effectively.
- Tell us promptly about any changes to your health, medications, or circumstances that could affect your programme.
- Attend the coaching calls you book, or reschedule with at least 24 hours' notice. Missed calls are not refunded or rebooked as a general rule (see below).
- Keep your login details for the client portal secure.
- Follow the guidance you receive at your own pace, and consult your GP or a qualified medical professional for any medical concerns.
8. Coaching calls and missed sessions
Coaching calls are held online at times booked through the client portal. If you need to reschedule, please give at least 24 hours' notice. Sessions cancelled with less notice or missed without notice are considered delivered and will not be refunded or automatically rebooked — though we will always try to be reasonable in genuine emergencies.
9. Intellectual property
All materials we provide — including written frameworks, guides, playbooks, videos, and personalised plans — are the intellectual property of Orbit & Balance. You may use them for your personal, non-commercial use as part of your coaching. You may not resell, republish, or redistribute our materials, or use them to run a competing service.
10. Testimonials and case studies
If you provide a testimonial or agree to a case study, we may use it (in whole or edited for length) on our website, marketing, and social channels. We will attribute testimonials in the format you agree to (e.g. first name only, initials only, or full name), and we will not share health specifics without your explicit consent. You can withdraw permission at any time by emailing us.
11. Acceptable use of the website and portal
You agree not to:
- Use the site or portal for anything unlawful, or in a way that could damage or overload it.
- Attempt to gain unauthorised access to any part of our systems.
- Impersonate another person or misrepresent your identity.
- Upload any content that infringes anyone's rights or is defamatory, obscene, or otherwise unlawful.
We reserve the right to suspend accounts that violate this section.
12. Availability
We aim to keep the website and client portal available at all times, but we can't guarantee they'll always be available or free of bugs. We may take systems down for maintenance from time to time and will try to give reasonable notice.
13. Limitation of liability
Our coaching is delivered in good faith and to the standard reasonably expected of a certified nutrition coach, but individual results vary and we do not guarantee any specific outcome (weight loss, body composition change, energy improvement, or otherwise).
To the extent permitted by law, our total liability to you for any claim arising from these terms or your use of our services is limited to the total fees you have paid us in the twelve (12) months preceding the claim.
We do not exclude or limit liability for: death or personal injury caused by our negligence, fraud, or any other liability that cannot lawfully be excluded.

15. Privacy
How we handle your personal data is described in our Privacy Policy.
16. Changes to these terms
We may update these terms from time to time. The version in force is the one published on this page at the time you buy a plan or use our services. Material changes will be notified to active clients by email.
17. Governing law and jurisdiction
These terms are governed by the laws of England and Wales. Any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales — except that if you are a consumer resident elsewhere in the UK, you may bring proceedings in the courts of your home country.
